Applicant Privacy Policy

This Applicant Privacy Policy (“Policy”) describes how RossCo Sports Consulting (“RossCo”, “we”, “us”, or “our”) collects, processes, stores, and protects personal information submitted by individuals applying for roles, internships, or opportunities (“Applicants”) through the website www.rossco.in (“Website”), email communications, or any other recruitment channels used by RossCo.

By submitting an application or otherwise providing personal information for recruitment purposes, you acknowledge that you have read, understood, and agreed to the terms set out in this Policy.

This Policy applies exclusively to recruitment-related data. For general website use, please refer to our Privacy Policy and Cookie Policy.

1. DEFINITIONS

 

For the purposes of this Policy:

  • “Personal Data” means any information relating to an identified or identifiable Applicant.

  • “Processing” includes collection, storage, use, transfer, and deletion of Personal Data.

  • “Applicant” refers to any individual submitting personal or professional information to RossCo for the purpose of seeking employment, internship, project-based work, or collaboration.

2. SCOPE OF THIS POLICY

 

This Policy applies to all Personal Data submitted by Applicants, including but not limited to:

  • Information submitted through the careers form on the Website

  • Information submitted via email, messaging platforms, or referral

  • Resumes, CVs, cover letters, portfolios, and professional profiles

  • Communications between Applicants and RossCo’s representatives

  • Information obtained during interviews or assessments

 

This Policy does not apply to:

  • Data collected through website browsing (covered by the main Privacy Policy)

  • Cookie or analytics-based data (covered by the Cookie Policy)

  • Data collected from employees after hiring (covered by an internal employment policy)

RossCo may collect and process the following categories of Applicant Personal Data:

  • Full name

  • Phone number

  • Current location

  • LinkedIn profile or similar professional profile

(b) Professional Information
  • Resume or CV details (education, employment history, skills, certifications)

  • Portfolios, work samples, and project details

  • Areas of interest and career preferences

(c) Application-Related Information
  • Responses to application questions and assessments

  • Notes and observations from interviews

  • Communications with RossCo representatives

(d) Optional Information Provided Voluntarily
  • Information provided beyond what is requested in forms

  • Information shared during informal or preliminary conversations

RossCo does not request or intentionally collect sensitive personal data (e.g., financial data, medical data, caste/religion details) unless required by law and explicitly provided with notice and consent.

4. PURPOSES OF PROCESSING APPLICANT DATA

 

RossCo processes Applicant Personal Data exclusively for legitimate recruitment and talent-acquisition purposes, including:

  • Assessing an Applicant’s suitability for roles or opportunities

  • Communicating regarding applications, interviews, or recruitment status

  • Conducting background research limited to publicly available professional information

  • Maintaining records of Applicants for future opportunities

  • Complying with legal or regulatory obligations related to hiring

 

RossCo does not sell, trade, or commercially exploit Applicant Personal Data.

5. LEGAL BASIS FOR PROCESSING

 

RossCo processes Applicant Personal Data on the following legal bases:

  • Legitimate Interests: Evaluating candidates and managing recruitment operations

6. DISCLOSURE OF APPLICANT DATA

 

RossCo may disclose Applicant Personal Data only in the following situations:

  • To internal RossCo personnel involved in hiring decisions

  • To third-party service providers assisting in recruitment logistics or data storage

  • To legal advisors or regulatory authorities where required by law

 

All third parties engaged by RossCo are obligated to maintain confidentiality and data protection standards.

RossCo does not share Applicant data with sponsors, clients, or commercial partners.

7. RETENTION OF APPLICANT DATA

 

RossCo retains Applicant Personal Data for a reasonable period necessary to:

  • Evaluate current applications

  • Maintain a pool of potential candidates for future opportunities

  • Comply with legal or audit requirements

 

Where retention is no longer required, Personal Data shall be securely deleted or anonymised. Applicants may also request deletion of their data (see Section 10).

8. DATA SECURITY

 

RossCo employs reasonable technical, administrative, and organisational safeguards designed to protect Applicant Personal Data against unauthorised access, alteration, disclosure, or destruction.

However, no system of electronic transmission or storage is entirely secure, and RossCo cannot guarantee absolute security.

9. INTERNATIONAL TRANSFERS

Applicant Personal Data may be processed or stored using third-party service providers located outside India. Where such transfers occur, RossCo ensures that adequate safeguards and contractual protections are in place.

10. APPLICANT RIGHTS

Subject to applicable law, Applicants have the right to:

  • Request access to their Personal Data

  • Request correction of inaccurate or incomplete information

  • Request deletion of their Personal Data

  • Withdraw consent at any time

  • Request restriction of processing

Upon receiving a valid request, RossCo will respond within a reasonable time frame.

11. CHILDREN’S DATA

 

RossCo does not accept applications from individuals under 18 years of age and does not knowingly collect Personal Data from minors.

12. CHANGES TO THIS POLICY

 

RossCo reserves the right to update or amend this Policy at any time, and such updates shall be effective upon publication. The “Last Updated” date at the top of this Policy will reflect the most recent revision.

Continued participation in recruitment processes constitutes acceptance of the revised Policy.
